Release notes – Pabau Summer edition

This summer we have been working hard across the whole Pabau system to provide you with the best user experience. After months of work with rolled up sleeves on improving the system based on your needs, we are proud to announce the new update of the Pabau web app. The updated version includes a wide range of new features and updates to make your work easier, performance updates, bug fixes, speed improvements and more.

Before you proceed further, make sure to clear Google Chrome’s cache and browsing data.

Here’s a rundown of what’s in the update.

📬 New features

Enhanced month view

A picture speaks a 1000 words, our Calendar’s month view speaks thousands of appointments. You will not hop between days or the client card to find when John Smith has his regular checkup scheduled – you can easily find him from the month view and see all the details. Also, you do not need to switch to the day view, or week view to reschedule or cancel Sabrina’s appointment, as scheduling, rescheduling and cancelling appointments is now possible in the month view of the calendar. Changing the appointment status is there, too. Have all the appointments on screen and know what to expect tomorrow, next week, on August 31, etc. Through ‘Calendar settings’, you can set the calendar to refresh automatically, in time intervals of your choice. The time counter will let your staff members know how many appointments you can take for the day.

All-day appointments

If you are not a fan of high columns on your entire screen, from top to bottom, or you take multiple simultaneous appointments per day, the All-day feature is what you need. All-day appointments don’t need to hijack your entire column, just because they are all-days. With the all-day switch in Calendar settings, you can have all the all-day appointments on top of the calendar, in the all-day region. Moreover, all-day appointments do not need to be one-day appointments only. Booking an appointment supposed to last for the next 2 days or a week can be done with a single click. All you need to do is to set the service duration via ‘Settings’, and then book the appointment. Two minutes of work is now reduced to 2 seconds. You can view all-day appointments in day view, week view, and in month view.

Auto Convert leads from the calendar

It is very difficult to tell how many times a lead enquired. The answer is not necessarily one. Maybe there was an issue with the website where the lead came from that made the lead click the submit button multiple times, or there was another issue. You saw one of the leads and converted it, but later on, you discover another lead with the same details. We understand this can be time consuming, so we simplified the process. When booking an appointment in the Calendar, if there is a lead with the same name and surname, the same email, and/or mobile number, the duplicate lead will pop up in the left pane and you will be able to convert it easily.

Improved bookout & meeting feature

Based on your feedback, we improved the bookouts feature. You can bookout an entire room so that no appointments are booked in it while your meeting is taking place. You can reschedule bookouts and even rebook bookouts, so that you do not need to book them repeatedly every day. When rescheduling or cancelling bookouts, you do not need to reschedule or cancel the bookouts of other participants, too, as it can be done automatically. And yes, you can also enjoy the all-day privilege with bookouts, too. From now on, you can create all-day bookouts and invite guests to them, both internal (staff members) and even guests that are not staff members. Schedule all-day bookouts with a single mouse click, or screen tap.

User group support in the calendar filter

The calendar now has a quick overview of your user groups schedule. See the shifts of all the nurses, practitioners, doctors, therapists and more, with a single click. Just click on the filters, select a user group, and view the schedule of all the user group members. To make filtering even better, we added a search in the filter, so that you can find staff members even faster.

Room Fee

Do you take room fees when services are performed in certain rooms? If yes, we have great news for you. You can now take $10 for procedures performed in Room A, or 10% of the service price, as we implemented support for taking room fees when a service is performed in a room of your choice. It’s a set-it-and-forget-it setup. All you need to do is to go through Setup > Data > Rooms > Advanced, set the desired fee, and leave the rest to Pabau. The fees can differ per room – in some rooms you can take 10% fees, in others $100, in others 0, it is entirely up to you.

Installment feature

Some procedures can be just as expensive as they are delicate and time consuming. It is also time consuming to search through notes just to find when Jennifer’s next installment date is. If you allow for services to be paid in installments, we are here to support you. With the installment feature, you can split the payment into as many installments as you like, and distribute them across weeks, months, and years. All you need to do is to ring up the appointment, select ‘Cheque’ as the payment method, click on the calendar icon to select installment dates, and the pin icon to schedule a task. Now the next question you may have is “How shall I know when the installment date is?” We have taken that into account, too. On the installment day, you will receive a reminder through our task manager so you can immediately take action.

Extended functionality of custom fields

As part of our efforts to help you focus on your business and improve the treatment quality your patients receive, as well as your reports, we extended the functionality of custom fields. From now on you can create custom fields and put them in medical forms where you can gather data from the users who fill in the medical forms. Then, you can run reports where you can see the output from those custom fields organized in one place. Furthermore, you can create a custom field that would interlink data from custom fields. You can multiply, divide, subtract two custom fields, as well as to calculate difference in hours, minutes and days. You can find the custom fields in Setup > Data > Custom Fields > Reports Custom Field.

Also, you can improve the accuracy of your email templates by sending location-specific details, by creating custom fields per location. Just create a custom field, select Localized message as the field type, enter messages per location, set the custom field across templates and you are all set.

Another improvement we made is grouping custom fields into categories. Have all the related custom fields in the same tent, while creating contacts or in ‘Details 2′ of the contact card.

Timeline Integration

From now on, you can see a chronological timeline of all the appointments of a client from the contact card. All the past, present and upcoming appointments in one place. Aside from the appointments, you can see a list of all the emails, SMS, and letters sent, as well as other medical information (treatment notes, medical history and consent forms). Payment information, i.e. invoices, and payments, are not left out, too, as you can see all of them in one place. Thanks to the set of filters we introduced, you can select which information you can see in the timeline. Select only the appointments and invoices, appointments and treatment notes, and many more combinations.

Task Manager improvement

Following your feedback, we have improved the Task Manager. We made creating and assigning tasks much easier. At the tip of your fingers you can now find your own tasks, as well as tasks you delegated to a team member, whose status you can easily check whenever you like. You will now have the possibility to create as many task lists as you like and group your tasks in them. We implemented an email notification button into the delegate popout. When clicked, the staff member who created the task will receive a notification when that task is complete. Also, you can now add tasks from a patient card, via the ‘Create’ button, which will make delegating and creating tasks much simpler.

Family Relationships

See who is the parent of Mary, sibling of John, husband of Anna, wife of Nicholas, child of Mark, and more, with the family relationship feature if whole families are clients in your clinic. This feature can grant you instant access from one contact card to another, to see the medical information you need. You can easily backtrack family-related medical issues so that you know what one can be prescribed, by easily switching between clinics and checking medical details like treatment notes, prescriptions, appointments and more. You can further configure this feature from Setup > Data > Other assets > Family Relationships.

🌟Improvements

Differentiation between on-account payments and sales
“On Account” payments will have different unique numbers than invoices and will not disrupt invoice number sequence.

Improved create contact and create lead pages
Salutation field added to the lead module, custom fields organized into categories and much smoother screen will now be part of the new create-contact and create-lead modules, which won’t allow you to miss a thing when adding patients or leads.

Services – We have added an option to include an abbreviation, or a shorter phrase of a service

No need for long service names like “Extremelylonglonglongishservicenamethatyoucantread” to appear in invoices. Why should they, when you can easily replace them, with an abbreviation. Do it easily, from service settings, through the ‘Invoice Item Name’ text box.

Show information related to services in the invoice
Tell users what they need to know about the service, on the invoice, with the ‘Display Text on Invoice’ option. Remind them that they need to appear within 7 days, that they need to bring a medication, and more.

Client card:
– Improved search of contacts and leads – searching for contacts and leads is now much more accurate
– Quick download button for every invoice through view – download invoices to your computer much faster
– Ability to email appointment schedule – aside from printing the appointment schedule of a patient, you can email it, too, from now on.
– Improved adding tag to documents feature – you can now have all the documents in EMR that have the same tag in one place, making your search much faster.

Point of sale (POS):
– Consumable search – you can search for consumables, too, from now on
– Appointment popup design improvement
– Discount popup design improvement
– Package list we improved the ordering of packages – to help you find packages much easier
– Pay Outstanding Invoices – you can pay multiple invoices at once, with the bulk-pay feature. Just click on the outstanding amount and select Bulk Pay
– Added a setting to restrict the ability to have negative quantity – from now on you can select products via Setup > Data > Products that cannot be sold if their current stock level is 0.

Reports:
– Improved filters of stock reports to support consumables
– Ability to count consumables in the Stock Count report
– Summary, Graph, and Detail versions of reports – you can view abridged versions of the reports which can help with your analyses (so far implemented on Daily Sales, Daily Payments and Leads report)
– Stock Reports- We have made the product order same as in the stock
– We have improved the Tax report
– We made adjustments to this report to allow for multiple visits on the same day.

Recalls
We have improved recall scheduling. From now on, you can send email recalls. Also, you can send automatic recalls, send recalls for products. You can now set recall triggers, too. Send them after appointment completion, or once the bill has been paid. Oh yes, we have added an option to list past recalls, too in the recall list.
